KSeF, Poland’s national e-invoicing system, became mandatory on 1 February 2026 for large taxpayers and on 1 April for every other VAT payer. It is August, and KSeF is simply how invoicing works in Poland. For many vendors those dates forced a rewrite under pressure. For Anthropos-hr, our HR and payroll platform for staffing and temp-work agencies, the invoicing module was built for KSeF from the start. That was not luck. It was the build order.
The customer that cannot afford mistakes
A staffing agency runs payroll across every contract type Polish law allows, invoices clients at volume every month, and often employs foreign workers whose right to work depends on permits with hard deadlines. An invoice that does not clear the government platform is, for practical purposes, not an invoice. A missed legalisation date can take a worker off a client site.
These customers do not buy software for the interface. They buy it to stay legal. So we sequenced Anthropos accordingly: payroll for every contract type, KSeF-compliant e-invoicing, and work-permit legalisation with automatic deadline tracking came first. Contract templates with eIDAS e-signature shipped in November 2025; the candidate database, with documents and statuses, in January 2026. The built-in AI assistant answers against Polish labour law, not general knowledge.
What a mandate does to switching costs
Before February, KSeF support was a checkbox. Now a competitor entering this market must build KSeF integration, eIDAS e-signatures, and legalisation tracking before their product is usable at all. That work does not show up in a demo. It shows up in an audit. Staffing agencies do not switch software that keeps them legal.
Compliance-first is a strategy
Vertical SaaS earns its keep by absorbing regulation the customer cannot ignore: VAT rules, labour law, immigration paperwork. Each new mandate raises the cost of entry for a generic competitor and deepens the value of a system already in daily use. We treat regulatory change as roadmap, not overhead — for our customers, the regulation is the roadmap.
